Books you can trust, closed every single month

Reconciled in QuickBooks Online, reviewed by a CPA, and explained in a language that is not accounting. Behind by a few months or a few years? That is the most common way clients arrive here.

Why this comes first

Nobody can advise you well on numbers nobody believes

Ask a practice owner whether last quarter was profitable and you will often get a shrug, a pause, or a look at the bank balance. That is not carelessness. Bookkeeping is simply the first thing that slides when your calendar is full of clients who need you more than your ledger does.

The cost of that gap is not the bookkeeping itself. It is everything downstream: quarterly estimates that turn into guesses, an S-corp decision made on vibes, a hire you cannot model, deductions you never claimed because nobody categorized them, and a tax return built in March out of twelve months of archaeology.

Clean books fix all of that at once. Not because a balance sheet is exciting, but because every other financial decision you make gets faster, cheaper and more accurate once the underlying numbers are true.

What's included

Everything under accounting & bookkeeping

Whether you need a full outsourced finance function or just someone reliable to close the month, this is the scope it is drawn from.

General ledger maintenanceA chart of accounts built for a practice (clinician pay, supervision, EHR and telehealth platforms, licensure, malpractice, office and occupancy) rather than a generic retail template.
Bank & credit card reconciliationEvery operating account, savings account, credit card and merchant processor tied out each month, so the balance sheet reflects reality instead of drift.
Small business accountingCash or accrual basis, whichever tells the truth about your practice, with the method chosen deliberately rather than inherited from whatever software defaulted to.
Virtual bookkeeping & cloud accountingBank feeds, receipt capture and document exchange handled remotely. Nothing to drop off, nothing to print, nothing to drive anywhere.
QuickBooks Online accountingSetup, migration, clean-up and ongoing work in QuickBooks Online, by a Certified QuickBooks ProAdvisor who has seen most of the ways a file goes wrong.
Outsourced finance & accountingA finance function without a finance hire, bills, deposits, payroll posting, month-end close and reporting handled as one coordinated process.
Healthcare & medical practice accountingInsurance reimbursement, batched deposits, claw-backs, superbills, sliding-scale fees and split-fee clinician arrangements recorded so revenue means something.
Book clean-up & catch-upMonths or years of backlog rebuilt, duplicates removed, personal spending separated out and prior periods locked, quoted separately so the cost is visible.
Monthly bookkeepingProfit and loss, balance sheet and a plain-English note on what changed, what it means and what to watch next month.
Secure document exchangeStatements, receipts and reports move through the encrypted client portal, not email attachments and not a shared folder anyone can wander into.
Who this is for

You do not need a big practice. You need a true one.

Bookkeeping earns its keep the moment your practice has more than one income stream, more than one account, or more than one person spending money. Which, for most owners, is roughly month four.

Solo private practices Group practices with W-2 clinicians Insurance-based practices Private-pay and hybrid models Practices behind by months or years Owners who outgrew a spreadsheet Medical clinics & allied health S-corps that must keep clean records
How it works

From backlog to a monthly rhythm

01

Diagnose the file

We look at your existing books, bank feeds and last filed return to see what is actually there. You get an honest read on how far behind you are and what it will take to fix, before you commit to anything.

02

Clean up and set up

Backlog rebuilt, duplicates removed, personal spending separated, the chart of accounts rebuilt around a practice, and prior periods closed so nobody can quietly change last year again.

03

Close every month

Reconciliations, statements and a short review land on a schedule. You stop wondering where you stand, and your tax planning finally has something reliable to sit on.

Questions, answered

Bookkeeping, specifically

I'm months or years behind. Is that a problem?
No, and it is one of the most common ways clients start with us. We assess how far back the gaps go, quote the catch-up work separately from ongoing bookkeeping so you can see exactly what you are paying for, then bring the file current and move you onto a monthly rhythm so it does not happen again. Nobody is going to make you feel bad about it.
Do I have to switch to QuickBooks?
We work exclusively in QuickBooks Online, and Safietou is a Certified QuickBooks ProAdvisor. If you already have a QuickBooks Online file that works, we take it over as it is. If your setup is genuinely fighting you (a personal account doing double duty, a chart of accounts inherited from a retail template, three years of uncategorised transactions) we will tell you plainly and migrate you properly rather than papering over it.
Is my client information safe?
Bookkeeping for a practice does not require clinical records. We work from bank feeds, merchant deposits, payroll reports and vendor invoices, not session notes. Documents move through a secure client portal rather than email attachments. As one client put it: "She takes privacy seriously and all your information is secure."
What do I actually receive each month?
Reconciled accounts, an updated general ledger, a profit and loss statement, a balance sheet, and a short review explaining what changed and what to watch. The point is not the PDF. The point is that you can answer questions about your own practice (can I afford this hire, should I raise my rate, why was last month tight) without guessing.
Can you handle insurance reimbursements and superbills?
Yes. Insurance revenue almost never arrives as a clean deposit matching a clean invoice, payments come batched, adjusted, delayed and occasionally clawed back. We record it so your revenue reflects what you actually earned and your receivables reflect what is still owed. That distinction is the difference between a practice that looks profitable and one that is.
