One relationship, all year long

Tax, accounting and advisory for licensed professionals who are done managing three different people who each know one third of the picture. Books closed monthly, estimates set on time, returns filed without a separate invoice, and a CPA who already knows your practice when you call in October.

Flat monthly fee, no hourly meter Returns included, business and personal Starting at $625/month, quoted after a consultation
A calm, plant-filled therapy office with two armchairs ready for a session
Named for what it's forLess noise in the part of your work that isn't the work
One relationship, all year

The problem was never the tax return. It was the eleven months before it.

Most practice owners assemble their financial support one piece at a time. A bookkeeper found on a marketplace. A tax preparer who appears in March. A payroll platform set up in an evening. Google, for everything in between.

Each piece works. The seams do not. The bookkeeper does not know what the preparer needs. The preparer does not know how you pay yourself. Nobody sets your estimates because nobody thinks it is theirs to set. And when you have a real question (can I afford this hire, should I take the office, is this the year to elect) there is no one who knows enough about your practice to answer it in under an hour of catching up.

Total Harmony removes the seams. One firm, one relationship, one flat monthly fee covering the books, the returns, the planning and the phone calls in between. The person who closed your December is the person filing your return and the person answering your email.

The point is not that it is cheaper. The point is that nothing falls into the gap between two providers, and you stop being the project manager of your own finances.

What's included

Everything in the package

Drawn from all four service areas. What gets emphasized depends on your practice, a solo therapist and a six-clinician group need different weight in different places.

Monthly bookkeeping

Every account reconciled each month in QuickBooks Online, a chart of accounts built around a practice, and a profit-and-loss and balance sheet you can actually read, followed by a short review of what changed and what to watch. This is the foundation everything else in the package sits on, which is why it happens first and happens every month.

  • Bank & card reconciliation
  • Merchant & insurance deposits
  • Monthly P&L and balance sheet
  • Plain-English review

Business & personal tax returns

Prepared and filed as part of the package, with no separate invoice arriving in March. Business and personal returns are handled together so the two agree with each other.

Quarterly planning calls

Estimates calculated from real year-to-date profit rather than last year's number, plus a scheduled conversation about what is coming, hiring, equipment, rate changes, retirement funding.

Payroll oversight & compliance

Payroll reviewed and reconciled into the books, contractor classification kept honest, 1099s filed, and reasonable compensation revisited as the practice grows rather than set once and forgotten.

Unlimited email access

Quick questions never come with a meter running. This matters more than it sounds: the reason practice owners make expensive decisions alone is that asking felt like it would cost something. When asking is free, you ask before you sign the lease rather than after, and the small questions get answered while they are still small.

  • No per-question billing
  • Ask before you commit
  • Answers from a CPA, EA & MST

Year-end planning

An autumn projection and a written list of moves worth making before December 31, while there is still time for any of them to work.

Compliance calendar

State registrations, annual reports, entity filings and estimate deadlines tracked on a calendar that is not your memory.

Secure client portal

Documents, statements and returns exchanged through an encrypted portal rather than email attachments and shared drives.

The rhythm

What a year actually looks like

The value of a package is not the list of services. It is that the work happens on a schedule instead of in response to a deadline you already missed.

Every month

The close

  • Accounts reconciled
  • Transactions categorized
  • P&L and balance sheet issued
  • Short review of what changed
  • Payroll reconciled into the books
Q1 · Jan–Apr

Filing & reset

  • Prior-year books closed
  • 1099s issued to contractors
  • Business and personal returns filed
  • Q1 estimate set
  • The year's plan agreed
Q2–Q3 · May–Sep

Mid-year check

  • Estimates revised against real profit
  • Hiring and capacity modeled
  • Entity structure reviewed
  • Retirement funding planned
  • Clean-up of anything drifting
Q4 · Oct–Dec

Year-end moves

  • Full-year projection built
  • Written list of moves before Dec 31
  • Equipment and timing decisions
  • Owner compensation reviewed
  • Next year's structure decided
Notice where filing sits: at the end of a year of work, not at the start of a scramble. By April there is nothing to discover, because everything was already decided while it could still be changed.
Who it's for

Built for licensed professionals who want the whole thing handled

This is the right fit if you have passed the point where financial admin is a weekend job, and you would rather buy back the attention than save a few hundred dollars managing it yourself.

Therapists & psychologists Psychiatrists & nurse practitioners Group practice owners Counselors & wellness professionals Medical practices & clinics S corporations with payroll Practices adding clinicians Owners done with three separate providers

It's probably not for you if…

  • You want a single filing this year and nothing else, a consultation or a different firm will serve you better.
  • Your practice is brand new with almost no activity yet. Start with formation and setup, then come back.
  • You want someone to file aggressively and not ask questions. That is not what happens here.
How pricing works

Starts at $625 a month, quoted not guessed

The package starts at $625 a month. Where your own figure lands depends on what is actually in front of us, the same way a course of therapy does. Here is exactly what the quote is built from.

Entity typeA sole proprietor generates one return. An S corporation generates a 1120-S, payroll filings and a personal return that has to agree with both.
Transaction volumeHow many accounts, how many transactions a month, and whether insurance reimbursement is in the mix. Volume is work.
Payroll complexityHow many people you pay, whether they are W-2 or 1099, and how many states you pay them in.
Clean-up neededQuoted separately as a one-time project so backlog never hides inside your monthly fee, and so you can see what each part costs.

You receive a written scope and a flat monthly figure before you commit to anything. No hourly meter, no surprise invoices in March, and no "that will be extra" the first time you ask a question.

Honest comparison

Total Harmony vs. "just a tax preparer"

Both are legitimate ways to buy accounting. They solve different problems, and it is worth being clear about which problem you have.

A tax preparer alone

  • You appear once a year, usually between January and April, with a shoebox or a spreadsheet.
  • The return reports history. Every decision that could have changed the number was made months earlier without input.
  • Bookkeeping is your problem, or a separate provider's, and the two rarely speak.
  • Estimates are a rule of thumb, often last year's tax divided by four, regardless of what this year is doing.
  • Questions in June cost extra, or go unasked, which is worse.
  • Fine if your practice is simple, stable and small, and you genuinely only need compliance.

Total Harmony Package

  • Contact every month, with books closed and reviewed while the information is still useful.
  • The return is the last step of a plan, not the first time anyone looked at the year.
  • Bookkeeping is included and done by the same firm that files the return, so nothing gets lost in the handoff.
  • Estimates are calculated from actual year-to-date profit and revised when your income moves.
  • Questions are unlimited, so you ask before the lease, the hire or the election rather than after.
  • Right if your practice is growing, your income moves, or you have started making decisions you cannot easily undo.
Questions, answered

Total Harmony, specifically

Why is the price a starting figure rather than a fixed one?
The package starts at $625 a month, and above that the work genuinely differs. A solo therapist with one bank account and no payroll is a different engagement from a group practice with six clinicians, two entities and three years of catch-up. A single published number would mean either overcharging the simple practices or under-scoping the complex ones. You get a flat monthly figure in writing after a consultation, before you commit to anything. Every other price on this site is published, see the pricing page.
What determines my quote?
Four things: your entity type and how many returns it generates; your transaction volume across accounts; payroll complexity, including how many people you pay and in how many states; and how much clean-up your books need before ongoing work can start. Clean-up is quoted separately as a one-time project so it never hides inside your monthly fee.
Are tax returns really included?
Yes, business and personal returns are prepared and filed as part of the package, with no separate invoice arriving in March. That is deliberate. When the return is included, nobody has an incentive to leave planning until filing season, and you are never quietly choosing between getting good advice and getting another bill.
What if I'm behind on my books?
That is one of the most common starting points, and nobody is going to make you feel bad about it. Catch-up is assessed and quoted as its own project so you can see exactly what fixing the backlog costs versus what maintaining the books costs. Once the file is current you move onto the monthly rhythm. More detail on the bookkeeping page.
Is there a minimum commitment?
The package is built as an ongoing relationship rather than a project, and the value compounds, the same person who closes your books sets your estimates and files your returns, which only works if they have been there for the year they are filing. Specific terms are set out in the written proposal you receive after the consultation, so nothing about the arrangement is a surprise after you sign.
Do I still need a separate S corporation analysis?
They are different things. Total Harmony covers ongoing tax, accounting and advisory work. The S Corp Strategy Report is a standalone deep analysis of one structural question, priced starting at $2,497, with the Reasonable Compensation Report starting at $500. If the entity question is live for you, it usually makes sense to answer it first and then move into the package with the structure already settled.
